1. This year’s theme is – “Go Green with a New Home.” This is to encourage school spirit and sustainability. Displays must be considered TASTEFUL or you may be asked to remove display.
2. When planning your exhibit, consider that students are attracted to visual and/or hands-on exhibits, as well as samples, handouts and freebies.
3. The top two vendors with the best displays (voted on by a committee) will win reduced registration fees for the 2009 Housing Fair!
4. Please note on your registration form any unusual items you would like to bring as part of your display (i.e. cookie machine, heavy equipment or large display items). These items must have approval for health and safety reasons and for possible damage to the ballroom during setup and breakdown.
5. No display materials of any sort may be affixed to the walls, doors, windows, room partitions, curtains, and floors in the ballroom. Please ask for portable bulletin boards or sign stands to attach any displays (limited number available).
6. Use of tape (including duct, masking, and clear tape) for affixing items to walls, doors, windows, room partitions, curtains, and floors is prohibited in the ballroom. Painter’s tape is acceptable.
7. Due to limited location of electrical outlets, please indicate on the registration form if you KNOW for certain you will need electricity.
8. Emergency exits and service doors are NOT to be blocked with any furniture, decorations, equipment, or tables. You will be asked to remove items should this occur.
9. The use of paint, glue, or aerosol spray products is not permitted in the ballroom or nearby facilities including the West Balcony.
10. All smog, fog, bubble machines and light show projectors using any type of liquid or dry ice are prohibited in the ballroom. Please discuss any special effects planned with OCSS staff in advance.
11. Working animals such as seeing-eye, hearing, service dogs, and dogs used in law enforcement are the only animals permitted at the Housing Fair.
1. If you would like to have a banner hung in the ballroom, please indicate such on the registration form and submit it by the Registration Deadline of February 18, 5:00p.m. If the banner request is received after the deadline there are NO GUARANTEES that the vendor banner will be hung.
2. In order to accommodate the increase in banners, we request that you keep your banner length to no more than six (6) feet in length for a single table space and 12 feet in length for a double table space. Please make sure your banners have grommets; otherwise your banner may be damaged in the hanging process.
3. Hanging banners must be delivered to Off-Campus Life office by the Banner Drop-Off Deadline on Friday, February 27, 5:00pm. All banners will be hung by building staff and removed within 24 hours after the event.
4. Banners dropped off AFTER the Banner Drop-Off Deadline will NOT be hung.
5. Banners must be picked up by the Banner Pick-Up Deadline of Friday, March 13, 5:00pm. Any banners left past this date will be given to the LSC lost & found.
6. Please be aware that banner-hanging devices in the ballroom are limited to certain locations. The LSC Event Planning Staff will do their best to hang banners as close as possible to your designated table space.
1. All decorations must meet minimum safety standards as interpreted by Environmental Health and Safety (CSU). Fire code prohibits the use of hay, straw, cornstalks, or other dry tinder in the ballroom.
2. The use of nails, screws, or thumbtacks is prohibited in the ballroom. Please discuss with OCSS staff the option of special rigging for hanging items.
3. Any food items you plan to give away must be individually wrapped or properly covered at all times. Any vendor bringing food must note this on their registration.
4. On the day of the Housing Fair, a complimentary continental breakfast will be provided for all vendors in the Longs Peak Lounge.
5. Although there are a number of places to eat within the LSC, you have the option of ordering a box lunch for $10 (see registration form for details). The OCSS staff will deliver your lunch to you between 11:30 a.m. and noon.
Give-Aways
To help ensure a good turnout, Off-Campus Life will be giving away a variety of door prizes. These prizes will be drawn throughout the Fair. You are encouraged to bring whatever door prizes or promotional materials you would like to distribute. However, please note that alcohol or alcohol related give-aways are not allowed.
All requests must be submitted on the Housing Fair Registration Form. Those vendors that specify requests by the Registration Deadline of February 18, 2009, will be accommodated to the greatest extent possible by the OCSS and LSC Event Planning staff. This set of guidelines and policies does not guarantee that vendor requests will be met regardless of when the vendor requests are made. OCSS and the LSC assume no risk for lost or stolen items or for any personal injury while attending the Housing Fair.By registering for the Housing Fair, the vendor agrees that they have read and understand the above written policies, and they agree to abide by them. OCSS Housing Fair staff reserves the right to remove any vendor or display that violates the guidelines & policies listed above or is not in keeping with the informational/educational purpose of the Housing Fair.
